Salesforce/ Recruitment Reports

Salesforce is the software that stores recruitment records for UK. For fully online programs, a report is generated weekly from Salesforce detailing recruitment activity for programs that you are assigned. In order to receive reports, you must first request a Salesforce account.

Understanding Recruitment Reports

  • The reports are alphabetically sorted by Full Name. Sort by the “Created Date” to see the most recent activity (Note: Students who start an application might have additional lines noting any additional actions. For this reason, we recommend having a different message for application starters than the message you send to RFI submitters, etc.).
  • The reports contain all student inquiries acquired in the last 14 months
  • Student Provided Term = only for those who started an application, the term they selected on the app
  • The Student Status definitions are:
    • Inquiry - a lead who has demonstrated interest in your online program through a request for information, registered for an event, etc.
    • Inquiry App Starter - a lead that has started BUT not submitted their app to your program
  • Created Date = the date the student took the action noted
  • Source = where the lead became known to us
    • UK- Online - RFI Online Form ID 44 (The UK Online website form)
    • Application - Slate
    • Manual Backend Submission - this will specify if the lead called in, emailed or attended an event
    • Bookings Created Contact - registered for a meeting using the Bookings system
  • Emails - all names on this report receive the automated emails from UK Online for 13 days encouraging application submission. Once the app is submitted, the emails stop. All names acquired in the last 14 months also get application due date reminder emails.
  • Program representatives are encouraged to reach out to their prospective students by sending a personalized email, specific to your program and appropriate to the most recent action taken by the prospective students (i.e., RFI inquiry vs started an application).
